Salesforce has the most complete duplicate tooling of any mainstream CRM, and it is off by default in more orgs than you would expect.

Open the record and choose merge

Contacts, accounts and leads each support merging from the record. Salesforce shows you up to three records side by side.

Choose the master and the surviving field values

The master keeps the record ID, which matters for anything referencing it. You pick the winning value field by field.

Merge, then check what moved

Related records, activities and attachments move to the master. Merges are not reversible, and the losing record IDs are gone, so anything integrating on those IDs needs checking.

Duplicate rules and matching rules

This is the part worth setting up properly, because it works continuously rather than on cleanup day.

Matching rules define what counts as a duplicate: exact email, fuzzy name plus company, and so on. Salesforce ships standard rules you can activate.
Duplicate rules decide what happens on a match: allow with an alert, allow and report, or block outright.
Duplicate record sets and reports show what has already accumulated, so you can work through the backlog.
Alert plus report is the setting most teams should start on. Blocking outright frustrates reps and gets switched off.

Keeping it clean

Activate the standard matching rules if nobody ever did. Many orgs never have.
Apply duplicate rules to imports too, not just to manual creation, since imports are the larger source.
Give lead conversion a rule, because converting a lead when the contact already exists is a classic duplicate generator.
Review the duplicate report monthly rather than running a cleanup project once a year.
