Finding Duplicates in HubSpot

HubSpot will show you the likely duplicate contacts and companies it has spotted. It's a good start and a short list.

Using the duplicate management tool

1

Open duplicate management

In the CRM data management area, find the duplicates tool. It is available for contacts and companies on the plans that include it.

2

Review the suggested pairs

HubSpot scores likely duplicates and shows them side by side, so you can compare before acting.

3

Merge or dismiss each pair

Merge the genuine ones, dismiss the false positives so they stop reappearing in the list.

What it will not find

Duplicate tickets. The tool covers contacts and companies. Two tickets for the same request aren't part of what it looks at.
Duplicate deals. Same story.
Pairs that share nothing obvious. Different email, different name spelling, no shared domain. A human recognises them instantly and the scoring does not.

For tickets specifically, continuous comparison as tickets arrive is the only thing that works, because a ticket duplicate is time-sensitive in a way a contact duplicate is not. A duplicate contact costs you nothing this afternoon. A duplicate ticket costs you an agent reply within the hour.

Frequently asked questions

Does Ticket Merger support HubSpot yet?+

Not yet. Ticket Merger connects to Zendesk and Freshdesk today, and HubSpot is next on the roadmap. Tell us you want it and we will let you know the moment it is ready, since we prioritise by how many people ask.

Can I review merges before they happen?+

Yes. Start in suggest-only mode: Ticket Merger flags the pairs it believes are duplicates and leaves the decision to an agent. Most teams run that way for a week, check the hit rate, then let the confident matches merge on their own.

What stops it merging two tickets that are not the same?+

Rules you set. Match on requester, subject similarity, body similarity and a time window, and exclude anything you want left alone, like tickets from a specific form, group or tag. Anything below your confidence threshold gets suggested rather than merged.

How long does setup take?+

About five minutes to connect, and the first scan of your open queue runs immediately after. Onboarding help is included on every plan.

Cover the ticket side

HubSpot own duplicate tool ignores tickets entirely. Ticket Merger handles that job on Zendesk and Freshdesk now, and HubSpot is on the way.
