Free Help Desk Software, Honestly
Some free plans are real products. Some are trials wearing a costume. And open source is free the way a puppy is free.
The genuinely free options
| Option | Free for | The catch |
|---|---|---|
| Freshdesk Free | Up to 2 agents, core ticketing | No SLAs, no automation depth |
| HubSpot Service Hub Free | Up to 2 users, basic tickets | No knowledge base or portal |
| Zoho Desk Free | A small number of agents | Limited channels and customisation |
| osTicket | Unlimited, self-hosted | You run the server, the upgrades and the backups |
| FreeScout | Unlimited, self-hosted | Same, plus modules for the useful extras |
| Zammad | Unlimited, self-hosted | Capable, and a real administration commitment |
When free is the right answer
Free genuinely works in two situations.
Free stops working the moment you need SLAs, custom roles, automation depth or a third agent. Those are the three walls, and every team hits one of them.
The real cost of self-hosting
Open source software is free. Running it is not.
Budget for a server, backups you have actually tested, TLS certificates, upgrades, email deliverability tuning, and somebody who owns all of that. A rough rule: if the equivalent SaaS costs less than a day of your engineer time per month, SaaS wins on cost alone before you count the risk.
The exception is scale. At a hundred agents the per-seat maths changes completely, which is why large support operations sometimes self-host.
The cost free plans do not remove
Duplicate tickets do not care what you pay for your helpdesk. A tenth of the queue is the same request arriving twice on a free plan exactly as on an enterprise one.
On a free plan the cost lands entirely in agent time rather than licence fees, which for a two-person team is the more expensive currency. Run the numbers on the duplicate ticket cost calculator.
Frequently asked questions
What is the best free help desk software?+
Freshdesk Free for most small teams, HubSpot Service Hub Free if you already use HubSpot, osTicket or FreeScout if you must self-host.
Is open source help desk software really free?+
The licence is. Hosting, upgrades, backups and email deliverability are not, and they usually cost more than a small SaaS plan.
When should we start paying?+
When you need SLAs, custom roles or a third agent. Those three walls arrive in that order for most teams.
Free plan, same duplicate rate
On a free plan the duplicates cost you agent time instead of licence fees, which is the more expensive currency.
